01About this policy

This policy explains what personal information Allaway LLC, trading as Allaway Events (“Allaway,” “we,” “us”) collects when you use allawayevents.com, why we collect it, who we share it with, and what choices you have.

Allaway Events is an event production company. We design, produce and staff corporate retreats, brand activations and ticketed events, and we operate and partner with event venues in the United States.

This policy covers personal information generally. Cookies and similar technologies are covered separately in our Cookie Policy.

02Information you give us

We collect information only when you choose to send it to us. We do not require an account to browse this site.

When you submit an event brief or contact us, the form asks for your name, email address, phone number and company; the type of event you’re planning; approximate headcount, dates and budget range; and a free-text description of your event, goals and vision.

When you apply to join our vendor network, the form asks for your name or business name, email address, phone number, website, Instagram handle, city and state, and a free-text description of your services.

The free-text fields are open. Please don’t include sensitive personal information — health details, government ID numbers, payment card numbers — in them. If your event genuinely requires us to handle dietary, accessibility or medical requirements, we will collect that separately, under contract, once you become a client.

When you email or call us directly, we keep the contents of that correspondence so we can respond and maintain a record of our dealings with you.

03Information collected automatically

Server and hosting data. Our site is hosted by Webflow. Like nearly all web hosts, Webflow’s servers automatically log technical information when a page is requested, including IP address, browser type, device type, referring page and timestamp. This is used for security, fraud prevention and to keep the site running.

Analytics. We use Google Analytics, deployed through Google Tag Manager, to understand how visitors use the site — which pages are read, how people arrive, and where they leave. Google Analytics sets cookies and collects your IP address, device and browser information, and a record of the pages you view. Google processes this on our behalf and may also use it for its own purposes under its own terms.

Where consent is required, these cookies are only set once you give it. You can also opt out across all websites using Google’s browser add-on at tools.google.com/dlpage/gaoptout.

We run no advertising or retargeting trackers. There is no Meta Pixel, no LinkedIn Insight Tag, and no other advertising technology on this site. We do not build advertising audiences from your visit.

Embedded video. Some pages embed video hosted by YouTube. Where a video is embedded, YouTube may set cookies and receive your IP address and information about the page you are viewing, whether or not you press play. This happens under Google’s privacy policy as well as ours.

Screen size. Some of our forms record the dimensions of your browser window when you submit. We use this only to diagnose layout problems. It is not used to identify you.

Links to social platforms. We link to our profiles on Instagram, TikTok and LinkedIn. Following those links takes you to third-party sites governed by their own privacy policies.

04How we use your information

We use the information above to:

  • Respond to your enquiry and prepare a proposal
  • Plan, price and deliver events you engage us for
  • Assess and contact vendors who apply to work with us
  • Maintain business records, including for accounting and insurance
  • Measure how the site is used and improve it
  • Keep the website secure and working correctly
  • Comply with our legal obligations

We do not sell your personal information, and we do not share it for cross-context behavioral advertising as those terms are defined under California law. We run no advertising trackers, and nothing you send us is passed to an advertising platform.

The contents of your enquiry stay private. Your name, budget, dates, headcount and the description of your event go only to our team and the tools listed in section 5. They are never used for advertising, and never shared outside that list except with the vendors delivering your event.

Marketing is opt-in only. Submitting a brief, a contact form or a vendor application does not put you on a mailing list. We will only send you marketing email if you have separately and actively asked us to, and you can withdraw that at any time by emailing us or using the unsubscribe link in any message.

05Who we share it with

We share personal information only with organizations that help us operate, and only as far as they need it to do that job.

When we deliver an event, we may also need to share limited attendee or client information with the venue, caterers, transport providers and other vendors working on that event. We share the minimum required and only for that purpose.

We may disclose information where the law requires it, or to establish or defend legal claims.

06Cookies

Our Cookie Policy sets out in full which cookies this site uses, why, and how to refuse them. The short version follows.

This site uses cookies in two categories.

Strictly necessary. Required for the site to function and to keep it secure. These cannot be switched off.

Analytics. Set by Google Analytics and Google Tag Manager to measure how the site is used. These are not required for the site to work, and where consent is required they are only set once you give it.

We set no advertising cookies.

Embedded video and social posts may set cookies from Google or Meta. Video is embedded through YouTube’s privacy-enhanced domain and is not loaded until you press play. You can block or delete cookies through your browser settings; blocking strictly necessary cookies may stop parts of the site working.

07How long we keep it

We keep personal information only as long as we need it.

Retention periods
InformationHow long we keep it
Enquiries that don’t become projects24 months from your last contact with us, then deleted
Client records and event files7 years after the event, for contractual, tax and insurance purposes
Vendor applications24 months, or until you ask us to remove them
Website server logsAs set by our host, typically a short period
Analytics dataAs set in our Google Analytics data retention setting

If you ask us to delete your information sooner, we will, unless we are required to keep it by law.

08Your rights

If you are in the United Kingdom or the European Economic Area, you have the right to access your personal data, to have it corrected or deleted, to restrict or object to how we use it, and to receive it in a portable format. Where we rely on your consent, you may withdraw it at any time. You may also complain to your national supervisory authority — in the UK, the Information Commissioner’s Office.

Our lawful bases are:

  • Legitimate interests — responding to business enquiries, running and securing our website
  • Performance of a contract — delivering an event you have engaged us for
  • Legal obligation — tax and accounting records
  • Consent — marketing email, and analytics cookies

If you are a California resident, you have the right to know what personal information we collect and how it is used, to request deletion or correction, and to not be discriminated against for exercising those rights. Because we do not sell or share personal information for cross-context behavioral advertising, there is nothing for you to opt out of — but we honor Global Privacy Control signals regardless.

Residents of other US states with comparable privacy laws have equivalent rights, and we apply the same process to all requests.

To exercise any of these rights, email info@allawayevents.com. We will respond within the period the applicable law requires, and we may need to verify your identity first.

09International transfers

We are based in the United States and our service providers are primarily US-based. If you contact us from outside the United States, your information will be transferred to and stored in the US. Where that transfer is from the UK or EEA, it is made on the basis of the transfer mechanisms offered by each provider — typically the EU-US Data Privacy Framework or Standard Contractual Clauses.

10Security

We use HTTPS across the site, restrict access to enquiry and client data to the people who need it, and choose reputable providers. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

11Children

This site is not directed at children, and we do not knowingly collect personal information from anyone under 16. If you believe a child has provided us with information, contact us and we will delete it.

12Changes to this policy

We will update this policy when our practices change. The effective date at the top shows when it was last revised. Material changes will be flagged on this page.
