CollegeVine × Allaway · Vineyard 2026
The Client
CollegeVine is an AI-powered platform built for higher education — connecting students, institutions, and advancement professionals through data-driven tools for admissions guidance, enrollment management, and institutional relationships. Where most EdTech companies talk about transformation, CollegeVine actually builds the infrastructure for it: software that sits inside the decision-making workflows of universities across the country.
Their platform serves two sides of the higher education equation simultaneously. For students, it’s a guidance engine — helping them understand where they stand, where to apply, and how to present themselves. For institutions, it’s a pipeline tool — surfacing the right prospective students and giving advancement teams the data to act on. The product works because it sits at the intersection of both.
The Brief
Vineyard 2026
Nashville, TN
A national summit on AI adoption in higher education. Senior leadership from institutions across the country — in one room, for four days.
Vineyard 2026 was the second iteration of CollegeVine’s flagship leadership summit, and the expectations that came with it were proportionally higher. The ask wasn’t just “run a good conference.” It was: build an environment where the most senior minds in higher education leave believing that what they experienced could only have happened here. That required total ownership of every layer — travel, space, food, content, technology, and the moments between sessions that nobody puts on a run sheet.
What We Delivered
Every service below was delivered under a single agreement by the same team that designed the event. No subcontractor handoffs. No gaps in accountability.
Moment 01 · The Off-Site
The Category 10 retreat activation was designed to do one thing: give 350 people a shared memory that had nothing to do with a keynote. Custom hat-making and custom leather luggage tag stations — guests built their own take-home piece. In a post-event survey of senior conference-goers with decades of industry experience, the off-site activation outperformed every other touchpoint, unprompted.
“Best conference gift ever.”
“I absolutely loved my cowboy hat! It was a fun and memorable touch that perfectly captured the spirit of Nashville.”
Moment 02 · The Product Demo
The client’s AI agent — Viney — handled personalized itineraries, dietary flags, transport alerts, and concierge requests on-site throughout the four days. Rather than presenting their product on a slide, guests lived inside it. For a summit on AI adoption in higher education, turning the conference itself into the proof of concept was the single most strategically valuable thing the event could do.
“VINEY. I’m still talking about VINEY.”
Moment 03 · The Content Program
A 10-person content crew was embedded for the full four days — capturing headshots, event stills, and video across every session, activation, and in-between moment. The result was 20 finished video assets and thousands of images. Every single attendee left with a professional headshot. The client left with a full year of content for their platform, their marketing, and their pitch to future Vineyard attendees.
The Results
We ran a structured post-event survey and coded every open-text response. 122 submissions. 52% of substantive responses contained pure praise with zero critique. This is what a senior audience — people who attend conferences for a living — said about Vineyard 2026.
This was the most well organized, and beautiful conference I’ve ever been to — and I’ve been in the field for 30 years.
Vineyard was far and away the best organized and delightful conference I have had the pleasure to attend. Ever.
The CollegeVine team is world-class in making people feel welcome and a sense of belonging — and as I am responsible for Advancement events, I know what that takes.

Vineyard 2026
From the branded general session stage to the off-site dinner at Category 10, every physical environment at Vineyard 2026 was designed and produced by the Allaway team. Signage, florals, furniture, F&B, gifting, AV — one brief, one team, zero handoffs. This is what total ownership of an event looks like.
Professional Headshots
Allaway brought in a professional headshot company and built a fully equipped photography studio in the W Nashville lobby, available to all 350 guests throughout the summit. No appointments, no friction — guests stepped in between sessions and walked out with a polished professional headshot delivered to a private online gallery. Over 100 headshots were captured across the four days.
Rustler Hat Co. · Nashville
Rustler Hat Co. is woven into Nashville’s cultural identity — and Allaway brought them to Vineyard. Each of the 175 attendees received a fully customized hat, shaped and finished on-site by Rustler’s team. The activation became one of the most talked-about moments of the summit, scoring as a top highlight in the post-event survey. Guests left Nashville wearing something they’ll keep for years.
General Sessions
Vineyard 2026 assembled over 20 keynote speakers across four days of programming. Allaway designed and installed a large-format curved LED wall as the centerpiece of the general session space, complete with a dedicated green room, speaker walk-in staging, precision uplighting, and full floral installation. A live production team — spanning IT, AV, graphics, film, and streaming — ran continuous live coverage throughout, ensuring every session reached audiences both inside the room and beyond it.
Coffee Program
Allaway brought in one of Nashville’s most sought-after specialty coffee companies and built two dedicated service points across the summit: a portable espresso cart and a fully transformed hotel bar converted into a second permanent station. Guests ordered craft coffee directly to their desk through a custom-integrated app, with baristas fulfilling orders throughout all three days of programming. 900+ coffees were served across the event.
Community Giveback
As part of Vineyard 2026, Allaway partnered with the Sydney Paige Foundation — a nonprofit dedicated to ensuring every child starts the school year fully prepared. Together with CollegeVine’s attendees, the team packed 400 backpacks with pencil cases, crayons, pencils, jotters, rulers, folders, and creative art supplies, distributed to children across the local Nashville community ahead of the upcoming school season.

Wonderful company to work with. Hannah and Boo were exceptional in their communication — every detail for the event was handled clearly and efficiently. A team that takes the stress out of the process and makes collaboration genuinely enjoyable. Highly recommend.
Our leather goods studio, Lockeland Leather, has been working in the events space for a decade — we’ve collaborated with a lot of talented teams. I can say with absolute certainty that Allaway is one of the best in the game. Hannah was our main point of contact throughout and made every step of it genuinely enjoyable. Her communication was effortless and her attention to detail was obvious. Every expectation was exceeded.
